Planned and actual cost
Planned estimating helps determine price and material requirements in advance. It uses standards and selected prices. Actual reflects the real costs of manufactured products. These metrics are useful for different solutions and should not quietly replace each other in the same report.
For example: the recipe requires one amount of raw materials, but the batch involved additional costs and defects. If the program writes off only the standard, the report shows a beautiful, but incomplete picture. We need a way to record the deviation and its cause.
Minimum set of initial data
- Nomenclature and units of measurement with conversion rules.
- Receipt of materials with quantity and cost.
- Recipe or specification with version and expected output.
- Actual output and consumption per batch or order.
- Defects, waste, returns and relocations.
- Additional costs and the approved method of their distribution.
Why Recipe Versions are Important
After a product composition change, old batches must remain associated with the version from which they were produced. Otherwise, one edit of the technical map will recalculate the previous month. For a new release, the current approved version is used, and the change history is preserved.
Standard losses and actual deviations are also separated. The system can show where consumption has exceeded the norm; the decision about the reasons remains with the technologist or the responsible employee. Automatic write-off without control does not make accounting reliable.
How to agree on a financial model
The rules for assessing inventories and distributing expenses are determined together with those responsible for accounting. The developer implements the adopted model and tests it using examples. Accounting and management reports may have different goals, so one cannot promise their coincidence without analyzing the methodology.
It is useful to prepare one regular order and one with a complex variance. Manually calculate the expected result according to the approved rules. These examples will test the program after each major modification.
What to check at startup
- The quantity and value of balances coincide with the original data in the selected period.
- Changing the technical sheet does not change previous batches.
- Defects and returns are reflected in separate movements.
- Repeated operation does not double the cost.
- The correction has an author, time, and connection to the original entry.
For accounting system development prepare examples of operations and calculation method. B bakery accounting section the path from technical map to release has been analyzed; The principles of data preparation are also suitable for other small industries.
